Why this document exists
The RoPA is, along with the privacy policy, one of the documents data protection authorities commonly ask for — and the one most companies have half-finished or outdated. This template starts from already-drafted example entries, so adapting the record to your organization is a matter of hours, not weeks starting from scratch.
Frequently asked questions
Is a RoPA mandatory?
Generally yes. GDPR Art. 30(5) exempts organizations with fewer than 250 employees unless the processing is likely to result in a risk to rights and freedoms, is not occasional, or includes special categories of data — which in practice is almost always the case.
Does it work for multiple companies or just one?
The template is designed to adapt to your organization's specific processing activities; if you manage several entities, each one needs its own RoPA.
Does this replace legal advice?
No. It's a working template that organizes and speeds up the RoPA process, but it doesn't constitute legal advice or guarantee GDPR compliance on its own — see the included Legal Notice.
What format is it delivered in?
Editable Excel with example processing activities already filled in, plus a PDF guide and the Legal Notice.
